Job Description

Executive Support

  • Manage and coordinate calendars for the sales team, scheduling internal meetings, client appointments, and travel arrangements.
  • Serve as a support point of contact for internal and external communications on behalf of the sales team.
  • Assist in preparing, proofreading, and formatting correspondence, sales reports, presentations, and proposals.
  • Organize and document meeting agendas, minutes, and action items for team meetings and client discussions.
  • Handle all tasks and information with a high degree of professionalism and confidentiality.

Board and Executive Team Support

  • Assist in the preparation and coordination of materials for sales review meetings with the Executive Team.
  • Help in compiling data for sales reports, dashboards, and executive summaries from various sales channels.
  • Maintain organized and accessible records of sales activities, client interactions, and team documents.
  • Learn and help ensure compliance with internal sales processes and reporting standards.

Administrative & Office Operations

  • Manage administrative functions such as maintaining sales collateral, tracking office supplies, and processing expense reports for the sales team.
  • Support in the planning and execution of internal sales training, team-building events, and client/partner-facing activities.
  • Perform basic administrative tasks like data entry and lead qualification within the CRM system.

Communication and Relationship Management

  • Assist with initial outreach efforts and conduct follow-ups with prospective clients, channel partners, and other key stakeholders via email and phone.
  • Represent the company in initial communications with external parties, maintaining a high standard of professionalism and enthusiasm.
  • Track engagement history and meticulously maintain and update databases of contacts within the company CRM.

Project Coordination

  • Assist in various sales functions as a rotational part of the training program, including:
    • Tender Sales: Help track tender portals, prepare documentation, and coordinate for bid submissions.
    • Corporate Sales: Conduct market research to identify potential corporate clients and assist in scheduling initial meetings.
    • Channel Sales: Support in onboarding new channel partners and managing communication with the existing network.
  • Conduct research, prepare reports, and provide briefs to support the decision-making of various sales teams.
  • Liaise with cross-functional teams to understand product offerings and ensure alignment with organizational goals.

Qualifications:

  • Bachelor’s or Master’s degree in Business Administration, Marketing, Communications, or a related field.
  • 0-1 years of experience; fresh graduates are strongly encouraged to apply.
  • Prior internship experience in a sales or customer-facing role is a plus.

Skills Required:

Mandatory:

  • Excellent written and spoken communication and interpersonal skills in English.
  • Strong organizational skills with an ability to learn and adapt quickly.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • High integrity, a strong work ethic, and a passion for a career in sales.
  • Ability to work independently as well as part of a collaborative team.

Preferred:

  • Familiarity with digital communication and collaboration tools like Google Workspace, Zoom, and Slack.
  • Basic understanding of sales principles or CRM software.
  • Confident and personable demeanor suitable for client interaction.

Working Conditions:

  • May be required to adjust working hours depending on the needs of the assigned sales team.
  • Remote, hybrid, or office-based setup, depending on organizational policy.
  • Willingness to travel as required for client meetings, market visits, or events.
